02The Problem
Dispatch decisions were made over the phone against whiteboard notes of driver availability. Delivery confirmations, fuel logs, and invoices lived in disconnected spreadsheets with delayed updates, creating billing lag and missed maintenance windows.
03The Solution
Load-to-truck matching now runs automatically against real-time availability and location data. ELD integration monitors deliveries and mileage live, and invoices generate automatically on delivery confirmation. A phased rollout ran the new system parallel to the manual process before the full fleet switched over.
04The Outcome
Dispatch time dropped 80%, invoicing went from 5-7 days to same-day, and the fleet ran six months with zero missed maintenance windows, an estimated $46,000 in annual savings, with the dispatcher's role shifting from matching loads to handling exceptions.
